Answro Privacy Policy
Version 2026-09-24.1. This policy explains what Digital Project LLC (“we”) collects when a business uses Answro, what we do with it, who else touches it, and what choices you have. It covers two groups of people: account holders (the business and the people who sign in) and callers (people who phone a business that uses Answro).
1. What we collect
From account holders
- Business name, website, type of business, the facts you confirm about your business, and the “never say” decisions you approve, with a version and time stamp.
- Your sign-in email, your name if you give it, your mobile number if you choose texts, and the IP address and browser used when you sign up, approve your agent, or opt in to texts.
- Billing details are collected and stored by Stripe, our payment processor. We see the last four digits of your card, the card brand, and your subscription status; we never see or store full card numbers.
- If you enable device notifications, the push address your browser gives us for that device.
- Usage of the dashboard (pages viewed, actions taken) and standard server logs.
From callers
- The caller’s phone number (caller ID), the date, time, and length of the call.
- An audio recording of the call and a written transcript of it.
- A summary and structured notes produced automatically from the transcript: the caller’s name if given, a callback number if given, what they asked for, and similar details the caller chose to say.
Every call opens with an announcement that the call is on a recorded line. The agent is instructed not to collect payment card numbers, Social Security numbers, passwords, or health information, and to stop a caller who starts to give them.
2. Why we use it
- To provide the Service: answer calls, produce summaries, show them in your dashboard, and send the notifications you opted in to.
- To bill you and to prevent fraud and abuse.
- To support you and to fix problems, which can mean our staff reading a transcript or listening to a recording when you ask for help or when our monitoring flags a failed call.
- To improve the Service for you: for example, correcting how your agent pronounces your street address. We do not use your recordings or transcripts to train the language models that answer other customers’ calls.
- To meet legal obligations and to enforce our terms.
3. Who else processes it
We use service providers to run Answro. Each one receives only what it needs to do its part and is bound by contract to use it only for that purpose. As of the version date they are:
| Provider | What it does | What it sees |
|---|---|---|
| Twilio | Telephone numbers, call routing, text messages to account holders | Phone numbers, call metadata, audio in transit, text contents |
| Vapi | Runs the voice agent during the call; stores recordings and transcripts | Audio, transcripts, summaries, your approved agent content |
| Deepgram | Speech recognition | Call audio, converted to text |
| Anthropic (via Vapi and OpenRouter) | Language model that speaks with the caller and writes the summary; reads your website at signup | Transcript text, your approved agent content, your public website text |
| Google (Places API) | Reads your public business listing at signup | Your business name and website |
| Neon | Database hosting | Everything in your dashboard |
| Vercel | Web hosting for the dashboard | Web traffic, logs |
| Hostinger | Server hosting for the agent builder | Your business facts during setup |
| Stripe | Payments | Billing details |
| Resend | Email delivery | Your email address and the emails we send you |
We do not sell personal information and do not share it with advertisers. We disclose information when the law requires it, to protect our rights or safety, or to a successor if Digital Project is sold or merged (with notice to you).
4. Callers’ rights and your obligations
You, the business, decide what happens to your callers’ information after it reaches your dashboard, and you are responsible for your own obligations to your callers, including honoring their requests about their information. We act on your instructions. If a caller contacts us directly about a recording, we will refer them to you and, where the law requires, assist you in responding.
5. Retention
- Call recordings, transcripts, and summaries: kept while your account is active so your dashboard history works, then deleted within ninety days after your account closes, unless we are required to keep them longer.
- Your approval records (what you authorized your agent to say, and when): kept for three years after account closure, because they document what was authorized.
- Billing records: kept as required by tax and accounting law.
- Text-message consent records: kept as long as required by carrier rules and law.
- Server logs: typically thirty days.
You can ask us to delete your account and its call data earlier by emailing us; we will confirm when it is done.
6. Security
Data is encrypted in transit. Dashboard access is by email sign-in links that work once and expire. Our staff access to your data is limited to support, monitoring, and fixing problems. No system is perfectly secure; if we learn of a breach affecting your data we will notify you as the law requires.
7. Your choices
- Texts, email, and device notifications are each optional and controlled in your dashboard. Reply STOP to end texts at any time.
- You can view, correct, or export your business facts and call history from your dashboard, or ask us for a copy.
- You can close your account at any time from your dashboard.
- Residents of states with privacy laws (including Washington, California, and others) may have rights to access, correct, delete, or restrict use of their personal information. Email us to exercise them; we will verify the request and respond within the time the law allows.
8. Children
Answro is a business service and is not directed to children under 16. We do not knowingly collect information from them.
9. Changes
We may update this policy. Material changes are announced by email or in your dashboard before they take effect. The version date at the top identifies the policy in force.
